In addition to essential functions such as direct correspondence with the driver or the sending of electronic documents, modern “Fleethand” management solutions include relevant features such as precise planning of the optimal route or the creation of dynamic electronic forms. A major advantage of the system is that there is a mobile app for managers in addition to the “Fleethand” web app, which allows them to conveniently use the app from any location on any mobile device.

Optimal route planning

The essence of “Fleethand’s” route planning solution is to create a specific task and a precise route, map it and then send that precisely planned task/route to the driver in the “Fleethand” app on the mobile device. A dedicated HGV-specific map showing toll and toll-free roads, truck restrictions, hazardous road sections and traffic flows can also add company-specific HGV parking areas, petrol stations and route templates to your route planning. The result is an optimal route, perfected by the transport manager and calculated by AI using cost and toll calculations, avoiding the unplanned kilometers that often occur when the driver must decide which route to take to reach the final destination.

The analytical element is an equally important aspect of this functionality. The reports allow company managers to assess whether managers are using the tool in a targeted way and have planned all the kilometers driven. Also allow to assess whether drivers have driven the routes as planned, assess the difference between the distance planned and the distance driven, and see the exact places where the driver failed to follow the route. This helps for more efficient routing in the future and the complete elimination of unplanned kilometers travelled by the company’s fleet, which account for around 2-6% of total fleet kilometers.

After analysing the data of the entire fleet, our system offers the user, in a few clicks, all the vehicles suitable for re-coupling, ranking them from the most suitable to the least suitable. The algorithm assesses the suitability of each of the vehicles based on the available attributes, pre-planned routes, hours driven by the driver, and estimated arrival times. Once the user has selected a vehicle for re-coupling, the most suitable location for re-coupling is also offered. Once the re-coupling position has been confirmed, the Fleethand system automatically re-plans the routes for both vehicles, so all the user has to do is confirm it and the drivers see the updated plan. Alternatively, the user can switch back at any time if the situation has changed, and the re-coupling is no longer necessary.

Direct correspondence

Smooth communication between transport managers and drivers is crucial for the proper management of load transport. “Fleethand’s” instant messaging function ensures constant and uninterrupted communication between managers and drivers, with the flexibility to send a variety of scanned documents, photos, and other files.

As the “Fleethand” system is fully mobile-friendly, communication with drivers can be very simple and convenient anytime and anywhere. As soon as an alert is received about a new message or document, managers can read or review the information immediately.

Electronic documents

“Fleethand’s” electronic document transfer tool helps speed up the exchange of relevant documents between drivers and managers. Drivers can simply scan the documents they receive using the camera on their mobile device and transmit the images in real-time to managers. The scanner on the drivers’ mobile device is fully customised for ease of use and convenience: it not only automatically recognises the edges and crops the photo, but it also recognises text, and adjusts it to straighten it, making the document suitable for further use and archiving.

Meanwhile, managers can upload a variety of relevant electronic documents such as insurance policies, driver posting declarations or other general instructions to the “Fleethand” system for drivers, which no longer need to be printed out and can be easily uploaded at any time, even if the drivers forgot to file them before the trip.

It is therefore clear that the transfer of electronic documents between managers and drivers promotes the digitisation of company processes and contributes to the development of sustainability.

Electronic instruments of transfer and acceptance

With this solution, drivers fill in an electronic transfer and acceptance certificate, provide photos of the vehicle’s defects/damages and sign it on their mobile device. Drivers are not allowed to leave any fields blank when filling in the report, and any damages must be photographed. The newly completed transfer and acceptance certificate is automatically compared with the last completed certificate in the system and, if there are new damages or irregularities, the company’s maintenance technicians are alerted to the deficiencies.

This “Fleethand” tool allows you to remotely monitor your vehicle’s condition and inventory. It also saves time for the maintenance department by eliminating the need to constantly review and collate paper documents.

Dynamic electronic forms

We create a separate login for each user, which allows you to configure the application according to your needs. Detailed journey information reveals each driver’s fuel consumption, driving style, and safety level, contributing to fuel savings and car efficiency.

What is the process of setting up a “Fleethand” system?

With our straightforward installation process, the “Fleethand” system can receive data from the tracking units of two manufacturers (“Teltonika”, and “Ruptela”), enabling us to upload the company’s trucks into the system and prepare them for use. The next step is a visit to the company by our manager, who provides training on how to use “Fleethand” solutions. Over the next month, a chat window is created for a month, so the company manager can ask questions and consult with the “Fleethand” representatives assigned to the company.

What GPS equipment is fitted to trucks and how much does it cost?

In many cases, trucks are fitted with a “Teltonika” or “Ruptela” tracking unit – if you have equipment from these manufacturers, you do not need to replace it. How are the driver and truck tachograph files scanned?

When the company card is connected to the scanner, the driver’s and the truck’s tachograph files are scanned automatically. The driver’s tachograph files are scanned daily and the truck’s files are scanned every 28 days. These files are then transmitted by the “Fleethand” system in tabular format and can also be transferred to other systems via integrations. This function provides you with the details of both the driver card and the vehicle. The system not only downloads the files but also generates the driver’s timesheet.
